Why offline conversions from CRM matter
An ad platform counts what happens on your site or inside a lead form: a submitted form, a message, a tap on the call button. Everything after that lives in your CRM. A manager in Tashkent may spend an hour on a lead who turns out to be looking for something else, while another lead pays through Click or Payme the same day. To the ad account, both are just one lead each.
So the algorithm does the logical but harmful thing: it looks for people who are most willing to leave their details. That is usually the cheapest and least serious traffic. Cost per lead falls in the report while your sales team sees more dead-end calls. Once CRM outcomes flow back, the platform can tell buyers from the merely curious.
Which CRM events to send
You do not need to send everything. Pick the stages that truly separate a good lead from a poor one, and make sure every manager uses them the same way.
- Lead qualified: the person fits the need and the budget.
- Meeting, consultation, measurement or trial lesson booked or held.
- Invoice issued or prepayment received.
- Deal closed and payment received.
- Deal value, if you plan to optimise for value rather than volume.
How to match a CRM lead to an ad click
The platform needs a key to know which person you mean. That can be a click ID stored in a hidden field of your website form, the lead ID from a Meta lead form, or a hashed phone number or email. The rule is simple: the key must travel from the form to the CRM card and survive the trip.
A typical small-business picture: leads arrive from Instagram direct, a Telegram bot, the website and OLX, and a manager retypes the contact by hand. If the source and ID are not saved the moment the lead appears, recovering them later is close to impossible. Check first that every CRM record carries its tags and identifier, and only then think about sending anything.
How it works in Meta, Google Ads and Yandex
In Meta, the usual route is the Conversions API: your CRM or a connector sends the event along with the right identifier. For lead forms, it is convenient to send processing stages back using the lead ID. Many CRMs do this through ready-made integrations, with no developer needed.
In Google Ads you can import offline conversions by click ID, or use enhanced conversions for leads with hashed contact details, either by file upload or automatically. In Yandex, the data goes into Metrica and then becomes goals for Direct. Platforms change exact requirements and upload windows from time to time, so check their current documentation.
Prepare your CRM first
The most common reason this fails is not technical. Managers do not move deals through stages, or close them weeks later, and there is simply nothing to send. Agree on the rules and review them as regularly as you review the sales plan.
- One set of funnel stages that every manager understands.
- Required fields: source, tags, click or lead ID.
- Deal value entered at closing.
- A named person responsible for data quality.
Personal data and common mistakes
Sending customer contacts to ad platforms is personal data processing. Hashing does not remove legal obligations. Make sure your privacy policy describes the transfer, send only what is needed for matching, and discuss Uzbekistan’s personal data requirements with a lawyer.
The same mistakes repeat across projects: events uploaded so late that the platform can no longer link them to a click; every lead marked as a sale; nobody checking that matching actually works; no identifiers in the CRM from day one; and too few events for the algorithm to learn from.
Where to start
Start small and verify each step. After a few weeks, compare campaigns not by cost per lead but by qualified leads and sales. The ranking often flips: a campaign that looked expensive turns out to be the best one.
If integration is too heavy for now, keep a spreadsheet where salespeople mark the fate of each lead, and review it weekly with your media buyer. It is not automation, but your decisions already rest on sales.
The markdev team sets up end-to-end analytics, from the form and CRM to the campaign report. If you want to know which leads really bring revenue, describe your funnel and we will suggest which event to begin with.
- Choose one event: a qualified lead or a sale.
- Set up sending it to a single ad platform.
- Check in the reports that events match to clicks.
- Compare campaigns by quality, not cost per lead.
- Once there is enough data, try optimising for that event.
FAQ
What are offline conversions from CRM?
They are events that happen outside your site or ad account, such as lead qualification, a meeting or a payment, recorded in the CRM and sent back to the ad platform so it can learn from real customers.
Do I need a developer to send CRM data to ads?
Not always. Many CRMs offer ready integrations with Meta, Google Ads and Yandex Metrica. A developer helps when the CRM is custom-built or events come from several sources.
What if I have very few sales?
Send an earlier event, such as a qualified lead. It happens more often, so the algorithm learns from it more easily. Move to sales once the volume is sufficient.
Is it legal to send customer phone numbers to ad platforms?
Contacts are sent hashed, but it is still personal data processing. Describe it in your privacy policy and check Uzbekistan’s requirements with a lawyer.
