Why sharing your password is a bad idea
A Yandex account is more than Yandex Business. Mail, cloud storage, payment details and other services may be tied to it. Hand over the password and you hand over all of that, not just one business listing.
The day-to-day problems are just as real. You cannot tell who changed the phone number or opening hours. Two-factor protection becomes a nuisance because every sign-in by someone else sends a code to you. If a contractor changes the password, you may lose your own organisation, and when an employee leaves you have to change the password everywhere it was used.
How to give access to Yandex Business step by step
The right approach is to add the person as a user of your organisation under their own Yandex account. The usual sequence looks like this:
- Ask the colleague or contractor for the login or email of their Yandex account. If they have none, they should create one.
- Sign in to Yandex Business with the account that owns the organisation.
- Open the organisation and look for the section that manages access. It is most often found in the settings.
- Add the user by login and choose a role.
- Ask them to sign in with their own account and confirm that the organisation appears in their dashboard.
Which role to give to whom
Follow the principle of least privilege: a person gets only what they need for daily work. Role names change as the interface is updated, so rely on the descriptions shown on screen and in Yandex Business help. If you run several branches, check whether the permission covers all of them or only one.
- Administrator who answers reviews: replies to customers and handling enquiries, without control over other people's access.
- Marketer or SEO specialist: editing business details, photos, reviews and statistics.
- Agency staff: editing rights, but not ownership.
- Owner: the company itself, not an individual.
Agencies and freelancers: who should own the listing
The most common mistake is letting a contractor create the listing under their own account to save time. While the relationship is good, nobody notices. When the contract ends, it turns out that the reviews, the history and the listing itself belong to someone else.
Write into the contract that accounts, data and materials belong to the client. Then ending the collaboration is a single action: you remove their access and the listing stays with you, reviews included.
A good habit is to create a separate Yandex account on a company email address and make it the owner of every organisation. Employees connect with their personal accounts as representatives, so the business does not depend on one person.
If someone else created the listing
This happens often: a former employee, an acquaintance or an earlier contractor set up the listing and you now have no access. The first route is to ask the person it is registered to add you as owner or transfer the rights. If you cannot reach them, you can submit a request through the service to confirm your rights to the organisation as a company representative.
That second route takes longer and may require documents, so find out in advance which account your listing is registered to. The same confirmation process applies if you have lost access to the owner account and need Yandex support.
Removing access and keeping order
When an employee leaves or a contract ends, remove them from the organisation's users the same day, and check every branch, not just the main one. A short checklist:
- The owner is the company's own account.
- Every person has their own account and role.
- Rights are granted for a task, not just in case.
- The user list is reviewed every quarter.
- Access is closed on the day someone leaves.
- The owner account has two-factor protection and its credentials are kept safely by management.

FAQ
Can I give access to someone without a Yandex account?
No. They first need to create their own Yandex account, and then you add them using that login or email.
What if the person was added but cannot see the organisation?
Most often they are signed in with a different account. Ask them to check that they use the exact login you added.
Who should own the listing when working with an agency?
Your company, ideally through a corporate account. The agency connects as a representative with editing rights.
How often should I review the user list?
At least once a quarter, and always on the day an employee leaves or a contractor's contract ends.
